Dynamics 365 Business Central: how can I disable Copilot for everyone?

Dynamics 365 Business Central now has embedded generative AI features powered by Azure OpenAI and this is something cool that I encourage everyone to try.

When individual Copilot capabilities are released in Dynamics 365 Business Central during minor updates, these capabilities are optional until the next major update. To turn on or off these features (like for example bank reconciliation and marketing text suggestions) you need to go to the Feature Management page and here set the Enabled for column to All users (feature active) or None (feature disabled):

Then, Copilot has capabilities. Using the Copilot & AI Capabilities page, you can turn individual capabilities off or on for all users:

Remember also that sometimes your Dynamics 365 Business Central environment could be located in a different geography than the Azure OpenAI Service it uses (Microsoft instance). Copilot is available in all supported Dynamics 365 Business Central countries/regions but it uses Microsoft Azure OpenAI Service, which is currently available for Dynamics 365 Business Central only in some geographical regions. If your environment is located in one of those countries where Azure OpenAI for Business Central is not available, data from the Copilot and generative AI features (prompts and data used or generated by Copilot) must be transmitted outside of your geographical region and might be processed and stored outside your compliance boundary.

In this case, an Allow data movement switch appears near the top of the Copilot & AI Capabilities page and you need to turn it on:

This switch will disappear when Azure OpenAI instance used by Copilot will be available in your environment’s location.

What about turning off Copilot for all?

With the previously described option, an administrator can enable or disable Copilot features. But what about turning off Copilot usage completely for the entire organization? This is a question I’ve received yesterday from a partner…

You can turn off Copilot completely for your organization by going to the Privacy Notices Status page. In this page there is a list of approval options for each of the Microsoft services included in Dynamics 365 Business Central:

Here just check Disagree for Everyone for the Azure OpenAI record and Copilot usage will be disabled for everyone.
